BrandMail SendToList Guide
The BrandMail(tm) SendToList(tm) list emailing feature is a very
powerful tool for conducting email marketing campaigns or needed
customer list or group communications. You send one email with your
recipient list attached, and BrandMail sends dozens, hundreds or tens of
thousands individually formatted messages that are one-to-one
personalized messages that look like they were sent just to the
recipient.
Sending BrandMail to a mailing list is Easy! And every email looks like
an individual message from you - no BCC's! To use the list emailing
feature of BrandMail, follow these steps.
1. Export or Create Your Recipient List as a Comma Separated Values File (.CSV)
You create your recipient list as a CSV file with Microsoft Excel or as
an Export from ACT!, Netscape, Outlook or other contact managment
program. You should export the field names as the first record of your
CSV file or you can add field names to the exported list with Excel. The
email address field must be named Email or E-mail. If your exported file
does not contain field names in the first row, you must insert a first
row that has them.
If your CSV file has other information fields for the recipient you may
merge them into the email message by typing the name of the field with @
sign before and after within your message.
2. Design Your Email Message
To place your list mailing order you will send your mailing email to
SendToList@letterclick.net. You control the BrandMail formatting just as
you would for an individual BrandMail message.
- If you specify no keywords your normal BrandMail format will be
used for the mailing.
- You can send a custom designed HTML email message with no
BrandMail template added by typing NOBRAND and a space at front of
your Subject. In creating a custom HTML message, you must keep in mind
the same rules as necessary for designing a web page - for example,
specifying fonts and font lists that will be present on your
recipients computer. You will also probably want to insert images
locally into your email and avoid images located on the Internet as
they will be unavailable if your recipient downloads and views your
message offline.
- Or you may specify a custom BrandMail template you provided or
obtained from LetterClick, such as a newsletter template, be added to
your message by typing TEMPLATE="name" at front of the desired Subject
line.
When you type the message part of your email, you can instruct BrandMail
to merge in recipient specific data that is in your CSV file of
recipients. If you decide to use reclpient specific information in your
message, simply indicate where you want the information inserted in your
message by typing @fieldname@ into the text of your message. For
example, you may define First as a field of recipient specific
information, and place Dear @First@, into your message to make the
message more personal. As another example you could define a field
BalanceDue, and your message might include the sentence, "Your balance
of $@BalanceDue@ is past due. "
3. Test Your Mailing
Test your mailing by sending the email for your mailing to
SendToList@letterclick.net with your recipient list CSV file as an
attachment. BrandMail will process the first 10 recipients of your list
but will send the email to you, not the recipients, so that you may
proof the mailing and be certain of it's appearance before sending it.
If you are not satisfied with your PROOF copies simply make changes and
send the request again without releasing the mailing.
You may attach other files that will be included in your mailing. If for
some reason, you are attaching other CSV files, you must name the
recipient list file as SendToList.CSV.
4. Release and Send Your Mailing
If you release and send a mailing you are authorizing us to charge your
account $0.02 for each email that is prepared, regardless of whether it
reaches the intended recipient.
When you receive your proofs, you will also receive an email with
instructions on how to release and send your mailing to all recipients.
To send your mailing, simply click the Authorize charges and Send link
in the delivery email.
If your address list has incorrect email addresses you will also receive
a Warning Message that indicates these errors along with your Proof
Copies and again when you release your mailing. Your mailing will send
anyway to other correct addresses, but you may wish to correct the
errors and resubmit your mailing before releasing your mailing as the
incorrect addresses will not be processed.
5. List Mailing Surcharges and Restrictions
BrandMail provides this feature for permission based emailings to your
customers and prospects. No SPAM is allowed, and membership and service
will be terminated if LetterClick is used for unsolicited email
advertising.
The BrandMail List Mailing feature is quite powerful. There is a $0.02
surcharge for each email sent with this feature as it is quite powerful
and consumes valuable server resources. For example, if you specify a
list of 100 recipients the surcharge would be $2.00. You are agreeing to
this surcharge and that we can charge this amount to your credit card on
file when you click the link to release a mailing for delivery.
LetterClick is not responsible for delivery failures due to bad email
addresses or problems in delivering to the recipient's mail server or
mailbox or other email failures not in our direct control and no refunds
will be given for such delivery failures.
